Moving Current Fellows to the List of Past Fellows

Graduated Fellows Who Have Left UCSF

Updating the Bio

  1. In the Biographies -> Clinical Fellows folder in the Umbraco tree, navigate to the subfolder and locate the fellow. Then click on it. The set of bio tabs will now appear.
  2. In the first tab, click the checkbox for "No Longer at UCSF". This turns off the display of all information in the bio except the name, photo, title(s), and the external link (URL) to a new location.
  3. If you know the new destination for the fellow and a web page has been created for him/her, add the URL to the "Link to External Site" field. If the fellow does not have page, you can add it later.
  4. In the Academic/Working Title(s) field, add the new title and institution if known. Otherwise leave the title field blank and fill it in later. For examples of titles and institutions for this field, see this list.
  5. Click the "Where to Display Tab" on the bio. In the "Sites to Display Full Bio" control, select the nodes on left side that point to either the Resident Portal or current fellows list and click the Delete button on the right side. (This prevents republishing the bio in the wrong folder. It does not delete the referenced pointers which is done in a separate step.)

  6. On the right side of the tree, navigate to your local site and locate the past fellows folder on your local website, usually under Education and Training, unless you have dedicated fellowship website. Click the past fellows folder. The folder must be a yellow folder icon with a blue person icon in it.

  7. Republish the Bio

Move the Bio to the Past Fellows Folder

  1. You will now move the Bio from the current fellows folder to the applicable past fellows folder.
    1. Right click the file (also called a document) in the Umbraco tree.
    2. Choose move.
    3. A dialog box will appear: "Select where the document [name of your bio] should be moved to below." Always READ the confirmation message in the dialog box to ensure you are moving the right file.
    4. Navigate to the applicable subfolder of the Biographies -> Clinical Fellows -> _Graduated -> [your fellowship subfolder] in the Umbraco tree and Press OK.
    5. Confirm the file was moved. If you don't see it in the folder, Right Click on the Folder and select "Reload Nodes" 

Delete the Pointers (Bioincludes)

  1. In the Umbraco tree, navigate to the Level 1 "Clinical Fellows" folder for the Resident Portal. The folder has a "1" in the icon.
  2. Navigate to the subfolder for your fellowship.

    1. Locate the pointer file for your fellow and click on it.
    2. Then right click and choose Delete.  Always READ the confirmation message in the dialog box to ensure you are moving the right file.
  3. In the Umbraco tree, Navigate to the "Current Fellows" folder on your website. 
    1. Locate the pointer file for your fellow and click on it.
    2. Then right click and choose Delete.  Always READ the confirmation message in the dialog box to ensure you are moving the right file.

Trust But Verify

Check the clinical fellow list on the Resident Portal and the current and past fellows lists on your website to ensure all the changes you made have taken effect.

Archive the Image in the Media Library

  1. Open a new instance of Umbraco in a separate tab.
  2. Click the Media Section at the bottom of the Umbraco Tree.
  3. Locate the Headshots: Clinical Fellows folder
  4. Navigate to your fellowship folder
  5. Select the current fellow.
  6. Right click and choose move. (Please do not use drag and drop.)
  7. Navigate to the "Graduated" subfolder in your fellowship folder in the Tree
  8. Click OK

Current Fellows Who Are Staying on at UCSF as Faculty

The Department takes over primary management of the former fellow's bio including its location and the location of the headshot in the media library. The fellowship coordinator is responsible for the following. These are detailed above in various sections

  1. Ensuring the fellowship tab is correctly filled out in the biography.
  2. Ensuring the pointer files are removed from the resident portal and current fellows folder on the fellowship page on the website. This may already have been done, but it should be verified. This can be ascertained by simply looking at the lists.
  3. Ensuring there is is a pointer (bioinclude) on the past fellows section of the website.
